Business Units let you run multiple companies, brands, or teams inside one CaptainBook account. Each unit has:
Its own users
Its own data (bookings, products, widgets, etc.)
Access controlled via Roles & Permissions
Open Business Units Management
Click your avatar (top-left of the dashboard).
Select Business Units Management.
You’ll see your master company listed on the left.
Create a Business Unit
Click Create.
Enter a Name and (optional) Description.
Click Create Business Unit.
Add users to the Business Unit
A unit is only usable once it has at least one user (usually an Admin or a standard User).
Select your new Business Unit from the list.
Click Add User.
In the modal, search and select one or more users.
Click Add user(s).
Onboard the user (send invite)
Open the user’s profile (click their name).
Choose the Role they should have inside this unit.
Click Onboard [Name] to send the invite.

What the invitee sees
They’ll receive an email invitation to join the unit.
After clicking Accept Invite, they’ll be taken to a secure screen to set their password and finish setup.
Control access with Roles & Permissions
Use the same Roles & Permissions system from Topic 1 to fine-tune what each user can do inside this Business Unit (e.g., Create Booking, Refund Transaction, View Availability only).
You can grant more/less access at any time by editing the user’s role in the unit.
Best practice:
Partners or small operators → User role with limited Booking + Customer permissions.
Internal leaders → Reservation Manager or Admin, depending on scope.
Typical use cases
Partner units: Allow a partner to place manual bookings, view only their bookings, and embed a dedicated booking widget on their site.
Brand/location split: Separate data and users for each brand, city, or venue while keeping top-level control.
Operational teams: Give front-desk staff access to only the tools they need.
FAQ & Tips
Q: Can users belong to multiple units?
A: Yes. Add them to each unit where they should work and assign a role per unit.
Q: I created a unit but can’t use it.
A: Make sure you’ve added and onboarded at least one user to that unit.
Q: Who sees what?
A: Users only see the data of the unit(s) they belong to. Master account owners can switch units and manage them all.
Q: Can I remove a user from a unit without deleting their account?
A: Yes. Remove them from the unit’s user list; they’ll keep access to any other units they belong to.
