Business Unit Management

Learn how to manage multiple business units within your CaptainBook workspace and control team access across them.

If your organization operates under multiple brands, locations, or divisions, CaptainBook's Business Unit Management lets you organize your workspace accordingly. Each business unit can have its own set of users, experiences, and operational data while sharing a single CaptainBook account.

Accessing Business Units

To manage business units, expand the settings menu in the left sidebar and click Business Unit Management. You will need admin or manager-level permissions to access this page.

Understanding the Business Units page

The Business Units page is divided into two panels. The left panel lists all active business units with a search bar and a CREATE button. Each unit shows its name, the number of assigned users, and user avatars. Clicking a business unit opens its details in the right panel.

Creating a new business unit

To create a business unit:

  1. Click the CREATE button at the top of the left panel.

  2. Enter a name for the new business unit.

  3. Configure any additional settings as needed.

  4. Save the new business unit.

Once created, you can assign team members and experiences to the new unit.

Managing users within a business unit

Select a business unit from the left panel to view and manage its assigned users. From the detail view you can:

  • See all team members currently assigned to the unit.

  • Add or remove users from the business unit.

  • View each user's role and last activity date.

Switching between business units

If you have access to multiple business units, you can switch your active context using the workspace selector in the top navigation bar. The active business unit determines which experiences, bookings, and data you see throughout CaptainBook.

Trashed business units

When a business unit is no longer needed, it can be moved to the trash. The Trashed Business Units section at the bottom of the page shows any units that have been removed. Trashed units can be restored if needed.

Tips

  • Use business units to separate different brands, geographic locations, or operational divisions within your organization.

  • Assign users only to the business units they need access to, following the principle of least privilege.

  • Business unit availability may depend on your subscription plan.
