e-Charterparty Guide

This guide explains what the e-Charterparty (e-Navlosimfono) is, how the Greek Ministry of Maritime Affairs platform works, and how to automatically export the e-Charterparty file from CaptainBook.

What is the e-Charterparty (e-Navlosimfono)?

The e-Charterparty (e-Navlosimfono) is the electronic application of the Greek Ministry of Maritime Affairs and Insular Policy for the digital submission and management of charter party agreements. The platform went live on 14 May 2026 and is available at:

A charter party agreement (navlosimfono) is the official document required for every charter of a professional leisure vessel in Greece. Until recently, the submission process was done manually in paper form at port authorities. With the e-Charterparty platform, the process is now fully digital.


Accessing the e-Charterparty platform

The platform is accessible at echarterparty.yna.gov.gr. There are two ways to log in:

  1. Login via TaxisNet (GSIS): Use your TaxisNet credentials as a vessel owner or operator.

  2. Login via email: Alternatively, you can log in using your email address.


Required charter party data

Each charter party agreement requires the following information:

  • Vessel details (name, registration number, flag)

  • Charterer details (full name, ID/passport number, nationality)

  • Passenger details (full name, sex, nationality, date of birth, ID/passport number for each passenger)

  • Port of Embarkation

  • Charter dates (start and end)


Exporting the e-Charterparty from CaptainBook

CaptainBook allows you to automatically export charter party data directly from your bookings, ready for submission to the e-Charterparty platform. Follow these steps to set up and use this feature.

Step 1: Installation

From your Dashboard, go to the App Store and install the "e-Navlosimfono & Greek Port Authorities Passenger List Generator".

Step 2: Go to an Availability page

Navigate to any availability page for your product.

Step 3: Manage Attributes

On the availability page, click the Actions dropdown and select Manage Attributes.

Step 4: Create a Custom Attribute for Port of Embarkation

Create a Custom Attribute for your availabilities called Port of Embarkation (if one doesn't already exist). This field corresponds to the embarkation port required by the charter party.

Step 5: Go to your product

Navigate to the product (experience) for which you want to enable the e-Charterparty export.

Step 6: Create Questions for each guest

Create the required booking questions for each passenger. The question types and settings must be exactly as follows:

  • Guest Name → Short text | Guest | After booking

  • ID Passport → Short text | Guest | After booking

  • Sex (M/F) → List | Guest | After booking

  • Nationality → Country | Guest | After booking

  • Date of Birth → Date only | Guest | After booking


⚠️ Important: All questions must be set to per Guest (not per booking). You can choose whether they are answered at checkout or after booking. Follow the question types shown in the screenshot strictly.

Step 7: Get Started

After installation, start the setup process. A 4-step wizard will appear: Product, Template, Map, Details.

Step 8: Follow the Wizard - Choose Product

In Step 1 (Product) of the wizard, select the experience you want to generate the passenger list for.

Step 9: Choose e-Navlosimfono

In Step 2 (Template), three template options will appear. Select e-Navlosimfono (with the gov.gr logo).

Step 10: Field Mapping

In Step 3 (Map), match the template fields with the questions you created:

  • Full Name / Ονοματεπώνυμο → Guest Name (very important!)

  • ID/Passport No → ID Passport

  • Sex (M/F) → Sex (M/F)

  • Nationality → Nationality

  • Date of Birth → Date of Birth

  • Embarkation Port → Port of embarkation


❗ Important: For the Full Name field, make sure you select "Guest Name". This is required for correct export.

Step 11: Review & Create

In Step 4 (Details - Overview), verify that all fields are correctly mapped and click CREATE LIST.

Step 12: Export the e-Charterparty

Once setup is complete, you can export the e-Charterparty file at any time:

  1. Go to any availability of the product you configured

  2. Make sure there is at least 1 booking

  3. Click the Actions dropdown

  4. Under PORT AUTHORITIES, select Export Passenger List (e-Navlosimfono)

The exported file contains all the data you need to submit the charter party on echarterparty.yna.gov.gr.


Submitting to the e-Charterparty platform

After exporting the data from CaptainBook:

  1. Log in to echarterparty.yna.gov.gr with TaxisNet or email

  2. Create a new charter party

  3. Fill in the details using the data exported from CaptainBook

  4. Finalize and submit the charter party
