This guide walks you through creating an AI Assistant in CaptainBook, funding it with credits, and assigning it to a booking widget.
After setup, your AI Assistant can answer customer questions, search real-time availability, capture leads, hand over to a manager, and make reservations directly from your website.
What the AI Assistant can do
Answer customer questions using content trained on your own data.
Real-time availability search across your inventory.
Lead capture when a visitor is not ready to book.
Handover to manager when human help is needed.
Make reservations directly through your widget.
Step 1: Open the Assistants section
From the CaptainBook dashboard, click Assistants in the left sidebar.
The AI Assistants landing page opens, showing the introduction banner and your remaining credits.
Step 2: Create your AI Assistant
Click Create your first AI Assistant to open the creation form.
Click Select a new photo and upload an avatar for your assistant.
Enter a name in the Full Name field. Use a first and last name that sounds human.
Choose a Gender.
Set the Tone (for example, friendly and professional).
Select a Manager — the teammate who will receive handover notifications.
Click Create to save the assistant.
Step 3: Enable AI credits and auto-recharge
The assistant needs credits to appear on your website. On the AI Assistants page, locate the Credits card and click Buy More Credits.
In the Your AI/Automation Credits modal, choose a package (2,000, 5,000, or 10,000) or enter a custom amount using the slider.
Click Add payment method to save billing details. This also enables auto-recharge so the assistant stays active when credits run low.
Step 4: Assign the assistant to a widget
Navigate to Channels → Direct bookings to open Your widgets. Open an existing widget or click Add a widget to create a new one.
Inside the widget, scroll to the AI Agent section and use Try with free credits to test, or connect your newly created assistant.
Important notes
Credits balance must be greater than zero for the AI Assistant to appear on your live website.
Credits do not expire — unused credits stay in your account.
Configure auto-recharge to avoid interruptions when the balance runs low.
The Manager selected during creation receives handover requests.
