How to Create a New Experience

Learn how to set up your first experience on CaptainBook and start receiving bookings.

An experience is what you sell to your customers — a tour, activity, transfer, or any bookable service. Follow the steps below to create your first experience on CaptainBook.

Step 1: Open the Experiences page

In the left sidebar, click Experiences (the calendar icon). This opens the main Experiences page where all your existing experiences are listed.

Step 2: Start the creation wizard

On the Experiences page, click the green + ADD AN EXPERIENCE button. This will launch the experience creation wizard.

Step 3: Choose "It is a new experience"

You will see two options: IT IS A NEW EXPERIENCE and I HAVE A FILE TO IMPORT. Select IT IS A NEW EXPERIENCE to start building your experience from scratch.

Step 4: Give your experience a title

In the first step of the wizard, enter the following details:

  • Experience name — Choose a clear, descriptive title that tells customers what they will be doing (e.g., "Sunset Sailing Tour").

  • Category — Select one or more categories that best describe your experience (e.g., Adventure, Boat tour).

  • Folder — Optionally organize this experience into a folder.

  • Widget — Choose which booking widget(s) to display this experience on.

Click NEXT to continue.

Step 5: Describe what you'll do

Use the rich text editor to write a compelling description of your experience. Think of it as a story with a beginning and an end that inspires guests to book. You can use bold, italic, links, and lists to format your text. Click NEXT when you are done.

Step 6: Add photos

Upload high-quality photos that showcase your experience. CaptainBook recommends at least 6 photos with a minimum resolution of 568x299 pixels. Tips for great photos:

  • Use bright, clear, and colorful images.

  • Show people interacting with your experience.

  • Avoid selfies, text overlays, logos, or collages.

Click NEXT to continue.

Step 7: Choose your schedule type

Select how your experience is scheduled:

  • Date and Time — Customers select both a date and a specific time slot (e.g., a morning tour at 9 AM and an afternoon tour at 3 PM).

  • Just Date, No Time — Customers select a date only, with no specific time required (e.g., an all-day museum pass).

Click NEXT to continue.

Step 8: Set group type and capacity

Choose how bookings are handled:

  • Shared Experience — Multiple bookings can be made for the same date/time. Set the maximum number of guests per session.

  • Private Experience — Only one booking per date/time slot. Once booked, no other customers can book that slot.

Set the Maximum number of people and click NEXT.

Step 9: Configure your fare

Set the price per person for your experience. Click Create a new pricing category and enter:

  • Name — The label for this price tier (e.g., Adults, Children, Seniors).

  • Price — The amount in your currency (e.g., EUR 50).

You can add multiple pricing categories. Check This fare is only used internally if a pricing tier should not be visible to customers. Click NEXT to continue.

Step 10: Set the location

Confirm or update the meeting point for your experience. If the pre-filled address is correct, click YES. If you need a different location, click NO and enter the correct address.

Step 11: Set up availabilities

In the final step, configure when your experience is available:

  • Start Time / End Time — Set the time window for each session.

  • First Day / Last Day — Define the date range (season) during which this experience runs.

  • Days of the Week — Select which days of the week the experience operates.

Click FINISH to complete the wizard and create your experience.

What's next?

After creating your experience, you will be taken to the full experience editor where you can further customize settings such as FAQ, notification preferences, ticketing options, and more. Your experience will also need to be activated and made visible before customers can book it.
