Setting Up Schedules and Availability

Learn how to create schedules, manage availability, and configure capacity for your experiences on CaptainBook.

A schedule is a unique version of your experience that can offer specific languages, starting points, or customizations. Each experience can have multiple schedules, and each schedule has its own availability, capacity, and pricing. This article explains how to create and manage schedules for your experiences.

Accessing the Schedules section

To manage schedules, open an existing experience by clicking its name on the Experiences page, then scroll down to the Schedules section. You will see a list of your current schedules along with the ADD ANOTHER SCHEDULE button.

Creating a new schedule

Click ADD ANOTHER SCHEDULE to create a new schedule. You will need to configure the following sections:

Basic information

  • Name — A descriptive name for this schedule (e.g., "Morning Tour", "Airport Transfer One Way").

  • Option code — An internal code used for OTA connections.

  • Colour — A hex color value used to visually identify this schedule on calendars and lists.

Availability

The availability section controls when this schedule can be booked:

  • Booking cutoff (in hours) — How many hours before the start time customers can still book. The closer to the start time, the more last-minute bookings you may receive.

  • MANAGE AVAILABILITY — Click this button to open the availability calendar where you can set specific dates, times, and seasonal availability for this schedule.

Capacity

Configure how many guests each session can accommodate:

  • Capacity — The maximum number of people per session. If a resource is assigned, this may be inherited from the resource's capacity.

  • Min age / Max age — Set age restrictions for your experience.

  • Min travelers / Max travelers — Set minimum and maximum group size requirements.

Resources

Assign resources (guides, vehicles, equipment) needed to run this schedule. Click ASSIGN ANOTHER RESOURCE to attach a resource. The schedule's capacity may be automatically linked to the assigned resource's capacity.

Pricing

Configure pricing details for this schedule, including whether tickets are Refundable (Yes/No). Detailed pricing tiers are managed from the experience's main pricing configuration.

Editing and deleting schedules

Each schedule in the list has three action buttons:

  • Calendar icon — View and manage the availability calendar for this schedule.

  • Pencil icon — Edit the schedule's configuration (basic info, capacity, resources, etc.).

  • Trash icon — Delete the schedule. This action cannot be undone.

Managing availability

To manage availability for a specific schedule, click the calendar icon next to the schedule name, or click MANAGE AVAILABILITY within the schedule editor. From the availability view you can add, edit, or remove specific dates and time slots when the experience is available for booking.

Tips

  • Use different schedules for variations of the same experience (e.g., morning vs. afternoon sessions, different languages, or different starting points).

  • Set appropriate booking cutoff times to balance between last-minute bookings and operational planning.

  • Assign resources to schedules to automatically manage capacity based on your available equipment or staff.
