How to use the Availability Updater

The Availability Updater lets you make bulk changes to your availabilities across multiple experiences at once. Update capacity, pricing, times, or booking status for hundreds of availabilities in a single action.

Getting there

You can access the Availability Updater from several places:

  • Dashboard — Click Availability updater in the Calendar section.

  • Experiences page — Click Quick actionsAvailability updater.

  • Experience option page — Click ActionsAvailability updater.

  • Availability calendar — Click Manage AvailabilityAvailability updater.

How it works

The Availability Updater is divided into three columns:

  1. Change — What setting you want to modify.

  2. For these availabilities — Which availabilities should be affected.

  3. To — The new value to apply.

Step 1: Choose what to change

Select one of the following settings:

Setting

What it does

Online booking status

Open or close online booking for selected slots.

Capacity

Set, increase, or decrease the number of spots available.

Pricing / Fares

Update the price for each pricing tier.

Start time

Change when an availability slot starts (and ends).

End time

Change when an availability slot ends.

Step 2: Filter which availabilities to update

Use the filters to narrow down exactly which availabilities will be affected:

  • Experiences — Select one or more experiences (up to 30). For pricing changes, only one experience can be selected at a time.

  • Date ranges — Add one or more date ranges. If no date range is set, only future availabilities are included.

  • Days of the week — Choose specific days (e.g., only weekends, only weekdays).

The footer bar shows how many availabilities match your filters in real time. A mini calendar preview highlights the affected dates.

Step 3: Set the new value

Depending on the setting you chose, you will see a different editor:

  • Online booking status — A toggle to enable or disable online booking.

  • Capacity — Choose an operation (set to, increase by, or decrease by) and enter a value.

  • Pricing / Fares — Enter the new fare for each pricing tier.

  • Start / End time — Set the new start and end times. For multi-day experiences, you can also adjust the day count.

Step 4: Review and apply

  1. Click Apply to X in the footer bar (where X is the number of matching availabilities).

  2. A confirmation dialog shows a summary of your changes: the setting, the number of affected availabilities, and the selected experiences.

  3. Click Apply Changes to confirm.

Changes are processed in the background. A green banner confirms that the update is underway. Depending on the number of availabilities, it may take a few moments to complete.

Important notes

  • Slots with bookings are protected. Time changes will skip any availability that has active bookings to prevent conflicts.

  • Capacity has a safety check. If you decrease or set capacity below the number of already-booked spots, those slots will be skipped automatically.

  • Channel managers are notified. If you use OTA channels (e.g., GetYourGuide, Viator), they will be notified of the changes automatically.

  • Changes cannot be undone in bulk. Double-check your filters and the match count before confirming. You can always make a follow-up update to correct values if needed.

  • Pricing requires a single experience. Since pricing tiers are specific to each experience, you can only update pricing for one experience at a time.

Permissions

The Availability Updater requires the update availability permission. If you do not see the option in your menus, contact your account administrator.
