Invoice Access and Billing Documents

View your invoices, download billing documents, and track your payment history in CaptainBook.

Accessing Your Invoices

To view your billing documents, navigate to the Billing section from the left-hand sidebar in your CaptainBook dashboard. Within the billing area, you will find a dedicated invoices section that lists all your past and current billing records.

Only users with billing permissions (typically administrators) can access invoice and billing document information.

Viewing Invoice History

The invoice history page displays a chronological list of all charges associated with your CaptainBook subscription. Each invoice entry typically includes:

  • Invoice number — a unique identifier for each billing record.

  • Date — the date the invoice was generated.

  • Amount — the total amount charged for that billing period.

  • Status — whether the invoice has been paid, is pending, or failed.

  • Plan details — the subscription plan associated with the charge.

You can click on any individual invoice to view its full details.

Downloading Invoices

CaptainBook allows you to download invoices as PDF documents for your records or accounting purposes. To download an invoice:

  1. Go to the Billing section and open the invoices list.

  2. Locate the invoice you need.

  3. Click the Download or View PDF button next to the invoice entry.

  4. The invoice document will be downloaded to your device.

Downloaded invoices include all the relevant billing information such as your company details, tax information, line items, and payment method used.

Understanding Invoice Details

Each invoice document contains several key sections:

  • Billing entity — your company name and address as configured in Company Setup.

  • Tax details — VAT or tax identification numbers if applicable.

  • Line items — a breakdown of charges including plan fees, add-ons, or prorated amounts.

  • Payment method — the card or payment method that was charged.

  • Billing period — the date range the invoice covers.

Failed Payments and Retries

If a payment fails — for example, due to an expired card or insufficient funds — CaptainBook will notify you and may attempt to retry the charge. You can update your payment details from the billing page to resolve failed payments and prevent service interruptions.

Failed invoice entries will be marked with a distinct status so you can quickly identify and address them.

Billing Notifications

CaptainBook can send billing-related notifications to keep you informed about upcoming charges, successful payments, and failed transactions. These notifications can be configured in your Notification Preferences settings.

Tips for Invoice Management

  • Download invoices regularly for your financial records and tax documentation.

  • Verify your company and tax details in Company Setup to ensure invoices display accurate information.

  • Monitor failed payments promptly to avoid service disruption.

  • Keep your payment method current — update card details before expiration to ensure uninterrupted billing.
