This guide walks you through configuring booking notifications in CaptainBook for both your team and your customers.
After setup, your team receives alerts for new bookings, cancellations, and reschedules, and customers receive email and SMS confirmations when they book, reschedule, or cancel.
Step 1: Open your operator notification settings
From the dashboard, navigate to open the Notification Settings page. This page controls how you and your team get alerted about booking events.
Step 2: Choose how you get notified for each booking event
On the Notification Settings page, each event row exposes channel toggles (email, in-app, SMS, and other) that you can enable or disable independently.
Available booking events include:
You received a new booking
A booking has been cancelled
A booking is rescheduled
You missed a booking
A new review has been submitted by one of your customers
A reminder for bookings departing tomorrow
A new payment has been submitted by one of your customers
Enable the channels you want for each row, then click Save at the bottom of the page.
Step 3: Open the experience you want to configure
Customer-facing notifications are configured per experience. In the left sidebar, click Experiences, then click the experience you want to edit (for example, Athens Acropolis Guided Walking Tour).
Step 4: Configure customer notification preferences
Scroll down the experience edit page to the Notification preferences section. This controls how customers are notified by email and SMS when they book.
For each notification type, toggle Email and SMS on or off:
Booking confirmation — sent when a customer makes a new booking.
Booking reminder — sent the day before the experience date.
Booking reschedule — sent when you reschedule a booking.
Booking cancelled — sent when you cancel a booking.
Waitlist spot available — sent to a waitlisted customer when a spot opens up.
Action required — reminder to sign documents or fill a form.
Step 5: Save the experience
Click Save at the bottom of the experience edit page to apply the customer notification preferences.
