To get started, log into your CaptainBook dashboard. Once logged in, look to the menu bar on the left side of your screen and click on the Triggered Notifications tab. This is where you can create and manage all your automated notifications.
Triggered notifications let you automatically send a message — by email, SMS, or push notification — to your customers, team, or resources whenever a specific event happens, like a booking being confirmed.
Example: Creating a Triggered Notification
Let's walk through an example. From the Triggered Notifications page, click ADD A NEW NOTIFICATION.
Start by giving your notification a Title so you can easily identify it later — for example, "New Booking."
Next, choose your Notification channel (Email, SMS, or Push) and your Notification target (Customer, Team, or Resource). In this example, we're sending an Email to a Resource.
Then set your Trigger Conditions — this is the event that will fire the notification. Here, we've chosen "When a booking is confirmed (only the first time)."
If you're sending an email, add a Message Subject as well.
Now you can write your Message Body. The Fields panels on either side let you click to insert dynamic merge fields — like a resource's name or the experience booked — straight into your message.
Scroll down and you'll find a few more optional settings: attaching files, restricting the notification to specific booking channels or experiences, and adding BCC emails. When you're ready, click CREATE.
Your new notification will now appear in the Triggered Notifications table, active and ready to go.
Sending Notifications for Specific Booking Channels
If you only want a notification to go out for bookings made through a particular channel, check "Only send when booked through specific booking channels" and search for the channel(s) you want — for example, OTAs like Viator or GetYourGuide.
This is a great way to tailor your communication depending on where the booking came from.
