Subscription and Plan Management

Learn how to subscribe to a plan, upgrade, downgrade, cancel, and resume your CaptainBook subscription.

Accessing the Billing Section

To manage your subscription, navigate to the Billing page from the left-hand sidebar in your CaptainBook dashboard. The billing section is only accessible to users with billing permissions, typically administrators.

From the billing page, you can view your current plan, compare available plans, and make changes to your subscription.

Understanding Your Current Plan

The billing overview displays your active subscription plan, including the plan name, billing cycle (monthly or annual), renewal date, and the features included in your current tier. This gives you a clear picture of what your workspace has access to.

If your plan is approaching its renewal date or if you are on a trial, you will see a notification banner with relevant details.

Subscribing to a Plan

If you have not yet subscribed to a paid plan, the billing page will present the available plan options. To subscribe:

  1. Review the available plans and their included features.

  2. Select the plan that best fits your business needs.

  3. Choose your preferred billing cycle — monthly or annual (annual plans typically offer a discount).

  4. Enter your payment details and confirm the subscription.

Once subscribed, your workspace will immediately gain access to the features included in your chosen plan.

Upgrading or Changing Your Plan

As your business grows, you may need to upgrade to a higher-tier plan for additional features or capacity. To upgrade:

  1. Go to the Billing page.

  2. Click on Change Plan or Upgrade.

  3. Select the new plan you would like to switch to.

  4. Confirm the change — any price difference will be prorated for the remainder of your billing cycle.

You can also swap between plans of the same tier if you need a different feature set. Downgrades take effect at the end of your current billing period.

Cancelling Your Subscription

If you need to cancel your subscription:

  1. Navigate to the Billing page.

  2. Click on Cancel Subscription.

  3. Follow the confirmation prompts.

After cancellation, your workspace will remain active until the end of the current billing period. Once the period expires, access to paid features will be restricted, but your data will be preserved.

Resuming a Cancelled Subscription

If you cancelled your subscription but changed your mind before the billing period ends, you can resume it:

  1. Go to the Billing page.

  2. Click Resume Subscription.

  3. Your plan will be reactivated and will continue as normal from the next billing cycle.

Plan Features and Access Control

Your subscription plan determines which features and modules are available in your workspace. Some features — such as advanced automations, certain integrations, or premium reporting — may only be accessible on higher-tier plans.

If you attempt to access a feature that is not included in your current plan, CaptainBook will prompt you to upgrade. This ensures you always know which capabilities are available and what upgrading would unlock.

Tips for Subscription Management

  • Review your plan regularly to ensure it matches your current business needs and usage level.

  • Consider annual billing for cost savings if you plan to use CaptainBook long-term.

  • Check feature availability before upgrading — the plan comparison page shows exactly what each tier includes.

  • Keep payment details up to date to avoid service interruptions at renewal time.
