Create repeating availabilities for an experience

This guide walks you through generating repeating availabilities on an existing schedule for an experience.

After setup, individual availability slots are created for every selected day of the week within the date range you choose.

Step 1: Open the Experiences list

Click Experiences in the left sidebar to view all your experiences.

Step 2: Open an experience

Click the name of the experience you want to edit (for example, Athens Acropolis Guided Walking Tour) to open its edit page.

Step 3: Open a schedule

Scroll down to the Schedules section of the experience edit page and click an existing schedule (for example, Session 1) to open its settings.

Step 4: Open availability management

On the schedule edit page, locate the Availability section and click Manage Availability.

Step 5: Choose Create repeating availabilities

From the dropdown that appears, click Create repeating availabilities.

Step 6: Set the first day

On the Create batch availabilities page, click the Date field under Starting from and pick the first day of your availability range using the calendar icon.

Step 7: Set the time range

Under Time, enter the start and end times for the availability slot. If the experience runs across multiple days, tick This is a multi-days experience.

Step 8: Set the recurrence to Week

In the occurrence dropdown, select Week. Day-of-week checkboxes appear so you can choose which days the availability repeats on (Mon, Tue, Wed, Thu, Fri, Sat, Sun).

Step 9: Select the days of the week

Tick each day you want the availability to repeat on within the date range.

Step 10: Set the last day

Under Repeat, choose On and enter the last day of your range, or choose After to stop after a number of occurrences.

Step 11: Create the availabilities

Click Create availabilities at the bottom of the form. CaptainBook generates an availability slot for every matching day in the range, which then appears on the schedule.

Troubleshooting

If you see Whoops! Something went wrong with errors like The starting time is required, make sure both the start and end times under Time are filled in, the first day is in the future, and the last day is after the first day before clicking Create availabilities again.
