This guide will walk you through how to navigate the Documents Tab to manage customer documents and create templates efficiently.

Accessing the Documents Tab

To get started, log into your CaptainBook dashboard. Once you’re logged in, look to the menu bar on the left side of your screen and click on the Documents tab. This is where you can manage all your documents, create new ones, or develop templates for commonly used forms.

Creating Document Templates

In the Documents tab, you have the option to create templates. Templates save time and ensure consistency across all documents. For example, you might create a waiver that you want all your guests to sign before starting an experience. This feature is highly customizable to fit the unique needs of every experience.

When you create a template, your customer's information will be automatically filled in. The waiver or document will be sent to them after booking for their signature, streamlining the process and ensuring all necessary paperwork is completed ahead of time.

Managing Your Documents

Within the Documents section, you can view all documents related to your experiences. You have several options for managing these documents:

  • Edit or Delete Documents: Click on the appropriate buttons to the left of each document to either edit or delete them.

  • Create a New Document: Click on the Create a New Document button to start. You’ll then have the option to create a brand-new document or use an existing template, simplifying the process and reducing the time needed to prepare documents.

Using the Agreements Section

The Agreements section is where you’ll find all documents that have been signed by your customers. Here, you can keep track of completed paperwork and ensure compliance with any required waivers or agreements.

If you need to export these signed documents, click on the Actions button located at the right end of the document row. This allows you to easily download and store these files for your records.
